Guidelines for Users: These guidelines aim to improve and reinforce the collaboration between the AV Media Services Department (AVMS) and the Clerc Center teachers and staff members. - GDOC Username and Password - Only members of the Clerc Center community may make AV/multimedia equipment reservations. Your GDOC username is First.Last (period between your first and last name). To recall/reset your password go to http://passwords.gallaudet.edu. If you need help with your password, please contact Bill Humm at William.Humm@gallaudet.edu or ext. 4282.
- Formal (documented) Requests - Submit completed request forms at least 24 hours (or 1 school day) prior to your event. This is necessary if the AV Technician must retrieve and move equipment from one office, classroom, or building to another. Equipment or service availability confirmations will be sent via e-mail. Approved requests are shown on the Reservation Calendar. Those not yet approved are on Pending Request View. Please note: Undocumented requests cannot be honored or will be considered as Emergency Requests.
- Emergency Requests - Requests made with less than one school day's notice will be considered.
- Set-ups - Allow plenty to include testing of equipment and to provide alternatives if needed. For early morning events, please request set-ups for the day before the event.
- Breakdowns and Pick-ups - Request for this with plenty of time before the AVMS office closes (see Office Hours). Users take full responsibility for borrowed equipment if their event extends past the AVMS office hours.
- Return of Equipment - The prompt return of borrowed equipment will determine the availability of most equipment. If you have difficulty returning items on the time or dates you indicated, please inform AVMS immediately.
- Equipment Handling - Prior to loans, the AVMS staff will ensure that equipment and peripherals are complete and functioning properly. Upon check out, the borrower and his/her department assume full responsibility for any damages to or loss of the AV items
- Workshops - AVMS can provide one-on-one or group training on the appropriate handling and care of equipment. Please schedule one with the AVMS staff.

Reminders: - Laminate only Clerc Center instructional materials that will be kept for a year or longer (i.e. posters, charts). We request your discretion as laminating film is quite expensive.
- Laptops with projectors are popular. Please make your requests as early as possible.
- Do you need to reserve the TecEds Lab as well as equipment?
